We are seeking to employ a candidate for the following position:
Project Coordinator Assistant

Main purpose of the job:
Provide support to the Project Coordinator in the administrative part of coordination tasks, ensuring a smooth relation with local and national authorities, contributing to the context analysis and follow-up, providing translations and interpreting in order to ensure the smooth running of the project.

Accountabilities: |
|
- Monitor and report on key issues (security, risk, etc.) to the Project Coordinator and provide support in analyzing contextual information, through a sound knowledge of counterparts, in different administrations in order to improve decision making processes.
- File and update field contacts and correspondence (with other NGOs, UN agencies, local authorities, media, etc) in order to ensure information sources accuracy and its availability on regular basis.
- Assist the Project Coordinator in the drafting of correspondences with authorities and counterparts (government officials, UN agencies, NGOs, etc.) in order to ensure fluent and accurate communication flows
- Assist the Project Coordinator in Internal and External Communication sessions and events about MSF (for National staff, the Ministry of Health staff, as well as local authorities) in order to improve awareness and public opinion adhesion.
- Ensures the continuity of relations with local actors and keeps updated the list of contacts.
- Organize advocacy contacts and appointments for the Project Coordinator with local authorities and partners to ensure the continuity of relations with local actors and involved counterparts.
- Execute clerk-related activities as well as prepare and conduct briefings on the project context to new employees in order to facilitate their integration onboard and within the project environment.
- Translate documents and act as an interpreter when needed

MSF CH/Context Specific Accountabilities: |
- Maintain and update all security documents, ensuring the Project Coordinator remains informed of key security-related developments and issues relevant to Baghdad and its surroundings.
- Support the Project Coordinator in ongoing context analysis, incorporating security, political, and economic dynamics specific to Baghdad, and contribute to the monthly SitRep accordingly.
- Develop and regularly update an Actors Map reflecting security forces on the ground, checkpoints, access controls, and other relevant structures across Baghdad governorate and other areas of MSF operation.
- Monitor changes in security indicators in Baghdad (e.g., checkpoints behavior, political developments, armed actor movements, community tensions) and provide timely reporting.
- Maintain an updated stakeholder mapping, including key interlocutors in Baghdad (DoH, DNGO, MoFA, security departments, district authorities), with current contact lists.
- Assist the Project Coordinator and Logistics team in implementing security measures tailored to the Baghdad operational environment and premises.
- Conduct road mapping, zone mapping, and field assessments, serving as focal point for identifying and documenting new areas, routes, and operational points within the Baghdad context.
- Contribute to the project’s threat and risk analysis, providing Baghdad project areas-specific insights for activities, movement planning, and strategic decision-making.
- Share weekly security and political updates with general staff, highlighting new developments within Baghdad and their potential operational impact.
- Support the Project Coordinator in managing challenges related to the delivery of medical activities, including access constraints, local sensitivities, and administrative issues.
- Assist the Project Coordinator in coordinating security monitoring, context updates, representation meetings, and follow-up with the authorities as required.
- Facilitate movement of staff, goods, and vehicles within Baghdad and between Baghdad and other MSF locations, ensuring compliance with movement protocols.
- Support the Project Coordinator in maintaining a respectful, safe, and non-abusive work environment, reporting any observations or concerns that may compromise staff wellbeing or MSF principles.

Specific requirements for the role:

Education |
- Essential for Education: University Degree Level, - Preferably in the field of Social Sciences (Political Sciences, International Public Law, Anthropology, Economics, Arts, etc.) |

Experience |
- Essential: Experience in and exposure to working in a complicated political, security and humanitarian environment - Essential: Experience in data collection, reporting and analysis. - Desirable 2 years previous experience in Operations’ job in the field of humanitarian aid with MSF or other NGOs |

Languages |
- Essential High commands in oral and written English language, (C1 minimum) - Fluency in Arabic. |

- Essential computer literacy (word, excel, Internet/social media) - Excellent understanding of MSF’s principles and values - Knowledge of and interest in humanitarian issues - In-depth contextual knowledge and analysis skills - High level of knowledge of local culture and customs |
