Overview

Un Ponte Per (UPP) is an NGO established in 1991. It has started its activities as “Un ponte per Baghdad”, right after the end of the war in Iraq, with the aim of organizing solidarity initiatives in favor of the Iraqi civil society. Later on, the intervention of Un Ponte Per started including Serbia and other Middle Eastern and Mediterranean countries. The NGO mission is to prevent new conflicts, protect human rights and support civil society, especially in the Middle East, through humanitarian and development programs, always supporting the local civil society. UPP is active in Iraq since 1991 and is regularly registered at National and Kurdistan Region levels.

This project, funded by UNDP aims at strengthening social cohesion and at promoting returns. After a series of trainings, a local advisory committee will be established that will prepare and oversee the social cohesion activities.

UPP is seeking experienced Logistics Assistant who will work together with the field coordinator in Tal’afar and the project manager to assure that project resources are available when needed. She/he will apply UPP’s procurement procedures and the other organizational policies such as for fleet management to assure that goods and services are purchased on time and according the procedures.

Responsibilities

Essential duties and responsibilities

• Organise and control the use of the project car and driver according the UPP standards;
• Administer arrangements and contracts with service providers – security, equipment maintenance, etc. and follow up of activities and tasks assigned to them;
• Liaise with all external suppliers for the purchase and maintenance of equipment in coordination with the Project Manager and the Project Admin;
• Manage and supervise maintenance works that need to be done in UPP project locations in Mosul;
• Ensure the good management and maintenance of all items in UPP project locations in Mosul;
• Update the inventory of UPP items purchased by the project;
• Update the inventory of needed cleaning material for UPP project locations in Mosul;

Procurement

• Procurement of UPP property and various kinds of expendable supplies necessary for the smooth functioning of UPP project locations by foreseeing needs, proposing solutions and conducting tendering procedures if needed, in close co-operation with the Project Manager and the Project Admin.
• Reception of and checking work / equipment purchased and/or rented.
• Maintain an update file with UPP suppliers and related price list.

Fleet management

• Follow-up of maintenance, insurance and road license of UPP vehicles.
• Undertake on a regular basis a technical check of UPP vehicles.
• Review on a monthly basis the use of UPP vehicles and report to the Project Manager on its use.
• Follow-up of accidents/incidents with the police for an abstract, informing Project Manager, sending all relevant documents.
• Planning driving and logistic tasks for staff members travelling on mission as well as assisting in welcoming visitors and organizing their logistical requirements.
• Assign and follow-up the Drivers list of duties, shift, and overtime.
• Experience with checking work / equipment purchased and/or rented

Education:

• Relevant University Degree and/or equivalent qualification.

Experience:

• Minimum 1-year experience in working with NGOs/UN agencies.
• Ability to build networks and create connections.
• Commitment to help persons of concern and willingness to cooperate with counterparts.
• Patient, adaptable, flexible, able to improvise and remain responsive and communicate clearly and effectively under pressure
• Cultural awareness and ability to build relationships quickly with a wide variety of people.

Knowledge:

• Excellent skills to plan and to implement on time.
• Self-reliant and able to work independently.
• Literacy in Microsoft Office Programs.
• Personal integrity and credibility.
