Logistician for the Civil Society Service Center (CSSC) in Basra, Iraq
Position: CSSC Logistician in Basra, supporting Project Activities in Basra Civil Society Service Center.
Duration: 1 year, with 3 months’ probation

Background

TATWEER (Development) - Civil Society Capacity Building Program is a program designed by Un Ponte Per and Al-Mesalla and funded by EU to build upon and scale up the potential of Iraqi Civil Society Organizations (CSOs) with a strong focus on capacity-building, advocacy and networking.

A Civil Society Service Center is foreseen to be active in each of the three project locations (Erbil, Basra and Basra) to provide services to the CSOs (training, advisory services, information point etc.) in the KRI, Central Iraq, Southern Iraq.

The Organization

Un Ponte Per (UPP) has been active in Iraq since 1991 and has made civil society empowerment one of its core missions in the country since its inception, through actions that span from humanitarian and health projects to human rights and peacebuilding programs. General Description of the Position

To ensure the functioning of the Civil Society Service Center and the fulfilment of all other logistics needs of the Project in Mosul, we look for an enthusiastic, flexible, committed, and resourceful logistician, with a problem solving attitude.

The logisticians will demonstrate initiative and autonomy in the organization of the tasks assigned while ensuring at the same the capacity to act in strong coordination with the Project PM, Grant Manager and Partners (Coordinator and logistician of CSSC in Basra).

Key Responsibilities:
  • Ensure the timely supply of quality materials and goods for project activities in coordination with the Project Manager, Project Administrator, Grant Manager and Project Partners
  • Collect information on potentials locations for the CSSC in Mosul based on the criteria agreed upon by the Project Management Unit, and contribute to the assessment and selection of the proper premises
  • Collect information on the procedures for the authorization of the Center by the Local Authorities and ensure that said procedures are respected
  • Assess selected premises’ conditions to identify necessary works, in order to submit a list and cost estimation to the PMU,
  • Prepare list of equipment for the CSSC, previous comparison with CSSC in Basra;
  • Identify and pre-qualify suppliers for maintenance works and equipment, and support the recruitment process of CSSCs staff
  • Implement the procurements of the project following UPP procurement regulations in coordination with PM and Desk Admin
  • Ensure implementation, follow-up and ensuring compliance of financial and administrative procedures.
  • Follow up maintenance operations when necessary
  • First check on the validity of the invoices and administration documents received during procurement and purchases following the procedures described in the UPP Project administration and procurement manual
  • Monitor the safety and security of center’s premises and goods in coordination with governmental security officers
  • Provide support in the organization of the recruitment of Center Staff (identification of proper channels, publication of calls, collection of application etc.)
  • Ensure and build good relationships with vendors and owners
  • Supervise the warehouse and CSSC items by conducting regular inventory.
  • Prepare equipment’s and furniture of CSSC and fix sample damage in the center.
  • Prepare logistic needs for the training and seminars such as stationary, refreshments, transportation…and so on.
  • Coordinate with finance and procurement department to accomplish the tasks.
  • Supervision of transport and distribution activities.
  • Coordination and ensuring cooperation /efficient communication within the supply chain departments
  • Perform any other task needed for the success of the project as required by the PM
  • Redact monthly report on advancement of logistic activities.

 

 

Qualifications & Preferred Skills
Required Education and Skills
  • University degree preferably in relevant subjects (Management, Operations or a related field)
  • At least 2 years of experience in logistics, materials management, warehousing or business.
  • Required excellent oral and written Arabic and English.
  • Working experience with local counterparts (CSOs, local NGOs, and others)
  • Strong communication skills to collaborate with colleagues and suppliers.
  • Capacity to develop, adjust, and carry out logistical plans, reduce costs and improve efficiency.
  • Ability to keep detailed records and simultaneously manage several projects in a fast-paced environment.
  • Ability to handle unforeseen issues, such as delivery problems, and adjust plans as needed to resolve the issues.
  • Experience applying best practices in logistics with a focus on performance, quality, safety, and inventory management.
  • Team working skills and proactive attitude
