Description
  1. Position Purpose

The MEAL and Reporting Assistant supports the implementation of Monitoring, Evaluation, Accountability, Learning, and Reporting activities for Aid Gate Organization (AGO) projects. The position contributes to data collection, beneficiary tracking, documentation, reporting, and monitoring of project activities in accordance with AGO procedures and donor requirements.

The position is based in Erbil and requires frequent travel to field locations across Iraq, including Ninewa, Salah Al-Din, Diyala, Anbar, Basra, Thi-Qar, Baghdad, Dohuk, and other operational areas, in order to support monitoring visits, verify project implementation, collect data, and assist in preparation of reports.

The MEAL and Reporting Assistant plays an important role in ensuring that project information is accurate, properly documented, and reported on time, and that monitoring systems are implemented according to organizational standards and donor guidelines.

  1. Key Duties and Responsibilities

2.1 Monitoring and Field Data Collection

  • Support implementation of monitoring activities in accordance with approved MEAL plans.
  • Participate in field visits to monitor project activities and verify implementation.
  • Collect data from beneficiaries, staff, and partners using approved tools.
  • Support baseline, endline, and post-activity monitoring when required.
  • Assist in beneficiary verification and attendance tracking.
  • Support post-distribution monitoring.
  • Ensure that collected data is accurate and complete.
  • Report field observations to MEAL Officer.
  • Follow ethical standards during data collection.
  • Travel to field locations when required.

2.2 Data Entry and Database Management

  • Enter monitoring data into approved databases and tracking sheets.
  • Maintain beneficiary lists and project tracking files.
  • Update monitoring tools and forms when required.
  • Ensure that data is properly saved and backed up.
  • Check data for errors before submission.
  • Maintain confidentiality of data.
  • Support management of Excel, Kobo, or other data tools.
  • Maintain both electronic and hard copy records.
  • Assist in organizing project data files.
  • Prepare data tables when requested.

2.3 Reporting Support

  • Assist in preparation of weekly, monthly, and final project reports.
  • Compile data from field teams for reporting.
  • Prepare activity summaries and monitoring tables.
  • Support preparation of donor reports.
  • Collect supporting documents for reports.
  • Organize attendance sheets, photos, and activity records.
  • Assist in writing short activity descriptions when required.
  • Maintain reporting files and archives.
  • Support MEAL Officer during reporting deadlines.
  • Ensure that reporting formats follow donor templates.

2.4 Accountability and Feedback Mechanisms

  • Support implementation of feedback and complaint mechanisms.
  • Assist in collecting feedback from beneficiaries.
  • Record complaints and feedback in tracking forms.
  • Support follow-up on complaints.
  • Ensure confidentiality of complaints.
  • Assist in awareness sessions about complaint systems.
  • Support hotline or complaint box if used.
  • Report serious complaints to supervisor.
  • Maintain complaint records.

2.5 Learning, Documentation, and Archiving

  • Support documentation of lessons learned.
  • Assist in preparing case studies and success stories.
  • Collect photos, attendance lists, and field notes.
  • Maintain organized documentation for all activities.
  • Support preparation of project files for donors.
  • Maintain archive of reports and monitoring documents.
  • Assist in organizing learning meetings.
  • Support preparation of presentations when required.
  • Maintain proper filing system.

2.6 Field Support and Travel

  • Travel to project locations when required.
  • Support monitoring visits in all governorates.
  • Assist during distributions, trainings, and workshops.
  • Verify beneficiary lists in the field.
  • Support surveys and assessments.
  • Assist during donor visits.
  • Provide monitoring support to program teams.
  • Follow security and safety instructions during travel.
  • Support field documentation.

2.7 Compliance, Audit, and Documentation

  • Ensure that monitoring and reporting activities follow AGO procedures.
  • Maintain organized monitoring and reporting files.
  • Support internal audit requests.
  • Support external audit requests.
  • Provide documents for donor reporting.
  • Follow data protection rules.
  • Ensure accuracy of records.
  • Maintain confidentiality.
  • Report any irregularities.
  • Ensure compliance with donor MEAL requirements.

2.8 Coordination and Communication

  • Coordinate with program staff during monitoring.
  • Coordinate with field staff for data collection.
  • Share information with MEAL Officer.
  • Participate in internal meetings.
  • Support planning of monitoring activities.
  • Communicate problems to supervisor.
  • Work closely with project teams.
  • Provide updates when required.
  • Support reporting coordination.

Follow instructions from supervisor.

Qualifications & Preferred Skills
  1. Qualifications and Requirements

Education

Diploma or Bachelor degree in Statistics, Social Sciences, Business, Management, IT, or related field.

Experience

  • Minimum 2–3 years of relevant experience in MEAL, reporting, data collection, or project support.
  • Experience with NGO / INGO preferred.
  • Experience in Iraq preferred.
  • Experience in reporting and documentation preferred.
  • Experience with Excel required.
  • Experience with Kobo / ODK / data tools is an advantage.
