Description

Provide secretarial work and services

  • Answer, screen, forward and/or return phone calls and messages
  • Type official correspondence, reports and other documents
  • Make photocopies and scan documents if and when required
  • Attend internal team meetings/workshops, write minutes, and circulate them
  • Assist in the logistical management and documentation of meetings, workshops, seminars and other project activities inside and outside the office
  • Carry out translations upon request

 

Ensure the functioning of the project/programme office

  • Update the project/programme staff list and organisational chart on a regular basis
  • Make administrative and logistic arrangements of project activities (meetings, workshops etc.)
  • Ensure confidentiality regarding personnel and finances related information
  • Regularly update the index of contact addresses (phone/fax numbers, e-mail)

 

Administration of HRIS (PaySpace):

- Ensure that all personnel records in the HRIS software (Payspace) are updated in a timely manner.

- Add new reocrds for new employees and ensure that all the information are reflected correctly.

 

Recruitment: 

- Ensure end to end recruitment cycle including advertising, longlisting, scheduling interviews, attending interview and extending job offers.

- Ensure Interview notes are collected and filed correctly.

- Ensure all applicants will receive feedback on their application using the SuccessFactor HRIS.

 

Payroll: 

- Responsible for generating payroll reports on a monthly basis and ensure that all payment variables are correctly calculated.

- Identify gaps, issues, incorrect information on the payroll reports and report them immediately to the techincal referent.

- Liaise with Finance department to ensure that salaries are properly handled and transferred in a timely manner.

- Responsible for collecting and enforcing timesheets for the mission.

- Ensure the payslips are signed and archived after processing of payroll. Onboarding & Offboarding:

- Collect relevant information, IDs and update relevant databases for new employees.

- Provide induction and onboarding to the new employees.

- Liaise with relevant departments to ensure new employees are properly trained and onboarded.

- Provide Code of Conduct and relevant trainings to new employees.

- Prepare Employment Contracts, amendments and extensions

- Follow up and maintian a calendar for probationary period appraisals and liaise with relevant managers.

- Prepare termination and notice letters for departing employees.

 

Filing & Archive: 

- Responsible for maintaining and archiving all HR files including soft and hard copies.

- Ensure the HR filing systems are properly maintained and updated at all times.

 

Administration: 

- Collect IDs and all relevant information from staff members to liaise for relevant access letters.

- Prepare and issue IDs for new staff members 

Qualifications & Preferred Skills
  • Bachelor Degree in Business Administration or Business Management with a focus on Human Resources.
  • At least 2 years of experience at the same capacity preferrably with an International NGO or in a humanitarian setting. 
  • Previous experience with using HRIS software is highly desirable. 
  • Excellent coordination and organization skills are mandatory. 
  • Very good command of languages (Kurdish, Arabic and English) are required.
