Description

Iraq Country Office is seeking a qualified Logistics Officer to provide operational support to its operations in Iraq. With 2 field offices and mostly partner implementation, the Logistics officer is expected to provide support to programs and capacity building to partners, with some travel required for support and/or capacity building to partners. The logistics officer will manage the procurement, fleet (1 vehicle), and IT/Asset inventory

The position is for 6 months initially, part time 75% 

Tasks:

Management and supervision of procurement at all levels (National/International tender, quotations, direct award)

- Contract and purchase order control and management, ensuring relevant staff are updated on the progress and status of their orders/contracts on regular basis

- Design, management and follow up of procurement plans of the projects

- Training Project Managers and budget holders on logistics practices and regulations (Internal and donor) on regular basis

- Regular monitoring of fleet and premises needs and prices, proposing necessary adjustments on timely manner to senior management/SMT

- Responsible for the management, supervision and oversight of the EU- Supply portal, ensuring updated filing of all releant documentation

- Responsible for screening suppliers and companies, focal point for the FinScan application.

-Support and capacity building of national organizations for at least 30% of the working time, reviewing policies, conducting spot checks, organizing and conducting workshops, among others

 

Fleet Tasks:

- Oversee the day-to-day operations of the organization’s fleet and service provider company, ensuring vehicles are operational, well-maintained, and available for use when required.

-Ensure that all vehicles are compliant with relevant regulations, including registration, insurance, and safety checks.

- Manage and update fleet records, including vehicle status, usage logs, and maintenance history.

- Regularly input and update vehicle data, including maintenance schedules, fuel consumption, mileage, and repair history, into the FleetWave system

- Ensure accurate reporting of fleet-related data and performance through the FleetWave dashboard and analytics tools.

- Monitor vehicle performance using FleetWave to track maintenance needs and schedule preventive maintenance to avoid unexpected breakdowns.

- Use FleetWave to monitor fuel consumption.

- Regularly update vehicle information and fleet-related data into the FleetWave system, ensuring the integrity and accuracy of the records.

- Prepare and manage movement plans for all vehicles between offices and coordinate daily transportation activities, and vehicle availability.

Qualifications & Preferred Skills

BSc. in Administration, Business Management, MBA in Logistics or Supply Chain Management 

3 to 5 years of experience in NGOs

Proven experience in Purchasing/Procurement, Inventory and Asset Management, Capacity Building Expertise and Fleet.
