JOB DESCRIPTION

Procurement

  • Procurement of the office and project supplies needed to facilitate the teams project implementation.
  • Work with suppliers to facilitate works related to maintenance/rehabilitationand in the project sites.
  • Develop framework agreements with vendors and suppliers based on properbidding process/comparative analysis
  • Ensure that bookings and reservations are made for all project events (hotels,workshops, trainings, flights… Etc.)
  • Ensure that receipts and supporting documents are provided in line with donorand AGO requirements.


IT

  • Ensure IT service and upkeep are managed on time (ensure that all office computers have up-to-date software and are thoroughly protected against viruses)


 Office Management

  • Track utility usage and payments for AGO offices and training centers (electricity, water, maintenance fees, generators, garbage, internet service, etc.) and prepare payment requests in the financial system as per respective contracts and invoices.
  • Ensure that any repair and maintenance needs of the offices and training centers are addressed in a timely, efficient manner.
  • Distribute monthly phone cards to eligible staff, ensure that log sheet is duly signed, and documents are submitted into the financial system.
  • Maintain an efficient filing system for procurement and logistics documents.

  • Strong organizational and communication skills.
  • Ability to work independently and as part of a team.
  • Familiarity with procurement procedures and logistics processes.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) or similar tools.
  • Attention to detail and strong analytical abilities.
