Logistics & procurement Assistant - Erbil (11277)

Job Purpose:

Logistics assistant reports to the Senior Logistics for delivery of all logistical functions including supply chain management, assets, and communications in coordination with the logistics team. This includes assistance in providing technical support and planning support to future initiatives to increase the in-country logistics capacity. This requires a highly motivated and detailed, solution-oriented individual who will be able to resolve operational critical challenges as they arise.

Main Responsibilities:
  • Receiving PR’s from program departments and process according to IMC procurement procedure.

  • Support programs activities through timely and compliant procurement.

  • Assist project staff, as required, in ensuring smooth coordination procurement and delivery processes

  • Assist the Senior Logistics by keeping the Assists List and procurements trucking sheet and Contract Trucking sheet Updated.

  • Under the supervision of the Logistics officer, responsible for assisting to collect quotations from the market.

  • Assist in preparing contracts and purchase orders based on fair and transparent analysis and negotiations with suppliers.

  • Matching invoices, goods received notes and service completion report to contracts and purchase orders, filing copy documentation and transferring to Finance for payment.

  • Ensuring that valid bills are received for all payments and that all payments are supported with needed documents when purchasing.

  • Delivery follow-up, including preparing and/or checking waybills, vendor’s invoices, and packing lists.

  • Ensure all the files are in place and updated.

Qualifications & Preferred Skills
  • Evidence of practical experience in logistics management within the field of supply chain management (International and domestic procurement, tendering, contracting, clearance, transport, warehousing, etc.) fleet management and asset management.

  • Previous experience in Logistics

  • The commitment and demonstrated skills to build staff capacity in the areas of logistics management, supervision and monitoring.

  • Excellent IT skills

  • Excellent in Microsoft office

  • Advance knowledge of Microsoft Office

  • Good oral and written communications in English, Arabic and Kurdish.

  • Strong interpersonal skills and work ethic

  • Ready to take initiatives with teamwork
