Description

HR Administration Volunteer

 

Main Purpose

 

Support the HR Administration Officer on HR functions, ensuring accurate record-keeping, smooth onboarding, timely contract and insurance management, and compliance with organizational policies and legal requirements.

 

Reporting to:

Hierarchical: HR Administration Officer

 

Tasks

 

  • Ensure that monthly attendance/timesheets are signed, checked, and sent to the main office for review and filing.
  • Ensure staff contracts and annexes are signed correctly and on time.
  • Confirm that monthly pay-slips are signed by employees on time and sent to the main office for review and filing.
  • Download attendance data from devices and add new staff fingerprints when needed.
  • Assist with recruitment by supervising tests, contacting candidates, in-location advertisements, and sending required documents.
  • Report any HR issues or needs to the HR Administration Officer for follow-up.
  • Assist in organizing HR workshops and training sessions for national staff, following logistics procedures.
  • Translate HR documents and communications into the local language for local staff.
  • Support the HR Administration Officer with other tasks as needed.
Qualifications & Preferred Skills

Requirements

Education

  • University Degree in Business Management/Administration is preferred

Professional experience

  • 0-6 Months of experience in HR/Administration is preferred
  • Relevant Internships are preferred
  • Fresh graduates are prioritized

Professional requirements

  • Essential computer literacy (word, excel)

Personal requirements

  • Teamwork and cooperation
  • Ability to work under pressure and meet deadlines
  • Intelligent, fast learner, multi-tasking, and proactive
  • High confidentiality, respect, and non-discriminatory attitude
  • Organized

Languages 

Fluency in English, Arabic, and Kurdish (written and spoken)
