Shareteah Humanitarian Organization (SHO) is an Iraqi National NGO promoting safety & development through mine action and explosive ordnance risk education (EORE)awareness, and clearance of mines, explosives and remnants of war.to assistance for people affected by armed conflict. Founded in 2016, SHO has organized & executed programs throughout Iraq. including the provinces of Nineveh, Duhok, Kirkuk, Tikrit, Anbar, and Baghdad. It currently holds offices in Duhok and Mosul.

Qualifications & Preferred Skills

The Logistics Officer is responsible for managing and executing all procurement activities, ensuring the efficient and timely acquisition of goods and services in accordance with SHO’s policies and donor requirements. In addition to procurement, the officer will play a key role in managing the organization’s fleet, ensuring that vehicles are properly maintained, utilized efficiently, and operated safely. This role is crucial in maintaining the overall effectiveness, transparency, and accountability of the logistics operations within the organization.

Responsibilities: 

  • Identify, evaluate, and establish relationships with reliable suppliers, negotiating contracts to secure the best value for money.
  • Manage the procurement process ensuring compliance with SHO’s policies and donor requirements.
  • Maintain up-to-date procurement records, ensuring all purchases are well-documented and authorized.
  • Monitor supplier performance and address any issues related to quality, delivery, or compliance.
  • Update and maintain a database of approved suppliers, ensuring they meet the SHO’s ethical and operational standards.
  • Oversee the daily management of SHO’s vehicle fleet, ensuring vehicles are used efficiently and maintained in optimal condition.
  • Coordinate vehicle scheduling, ensuring that transport needs for staff, goods, and equipment are met in a timely and cost-effective manner.
  • Monitor vehicle usage, fuel consumption, and maintenance schedules, ensuring accurate record-keeping and reporting.
  • Implement and enforce vehicle safety protocols, including regular inspections, driver training, and compliance with legal and safety standards.
  • Manage vehicle registration, insurance, and any necessary permits, ensuring all vehicles comply with local regulations.
  • Coordinate with the Logistics Assistant to ensure that all procured items are received, stored, and recorded accurately in the inventory management list.
  • Track and manage organizational assets, ensuring they are properly tagged, maintained, and accounted for.
  • Conduct regular physical inventory checks and reconcile records to ensure accuracy and prevent loss or mismanagement.
  • Coordinate the transportation and distribution of goods to various project sites, ensuring timely and safe delivery.
  • Address logistical challenges, such as transportation delays or equipment issues, to ensure continuous operations.
  • Ensure that all procured goods, services, and fleet operations meet the required specifications and quality standards.
  • Conduct regular audits of procurement and fleet management processes to ensure compliance with SHO’s policies and donor regulations.
  • Resolve any issues related to procurement discrepancies, damaged goods, or non-compliance in fleet management.
  • Maintain comprehensive records of all procurement activities, vehicle logs, maintenance records, and fuel usage reports.
  • Identify and mitigate risks associated with procurement and fleet management, such as supplier dependency, vehicle breakdowns, or non-compliance with regulations.
  • Provide training and support to staff on procurement procedures, fleet management best practices, and safety protocols.
  • Work with Support Service Manager to implement capacity-building initiatives aimed at improving procurement and fleet management efficiency.
  • Collaborate with project managers, finance teams, and other departments to ensure that procurement and fleet management activities align with project goals.
  • Uphold the highest standards of integrity and transparency in all procurement and fleet management activities.
  • Ensure that all activities are conducted in accordance with the SHO’s code of conduct, procurement policies, and ethical guidelines.
  • The Logistics Officer must Follow SHO's PSEA policy to preserve the trust and safety of the communities SHO serve. also helps maintain our SHO's ethical standards.
  • Perform additional tasks as required by the Line Manager or senior management to support the overall logistics and procurement functions within the organization
