Job Summary
The Assistant, HR and Administration, provides essential generalist HR and administrative support within the HR department. This role focuses on day-to-day operational management, ensuring that HR processes run smoothly and efficiently.
Main Tasks and Responsibilities
HR Generalist Support
- Policy Development: Assist in data collection for the development of HR policies and procedures.
- Field Support: Conduct regular field travel to support specific HR assignments in various offices.
- Recruitment Process: Participate in recruitment activities, including longlisting, contacting candidates, and scheduling interviews.
- Orientation Coordination: Arrange and support the onboarding process for new staff, collaborating with departments to ensure an engaging orientation experience.
- Employee Separation: Assist with the employee separation process and maintain accurate separation documentation.
- Contact List Maintenance: Regularly update staff contact lists and information flow lines.
- Contract Preparation: Help in the preparation of employee contracts and ensure all mandatory documents are signed and filed.
- Travel Support: Provide assistance with staff travel arrangements, including itinerary planning and ticketing.
- Personnel File Management: Ensure all personnel files (both physical and electronic) are secure and regularly updated.
- Performance Reviews: Support the collection and follow-up on performance reviews to ensure timely processing and filing.
- Payroll Preparation: Assist in preparing monthly payroll and related documentation, ensuring all information is accurately maintained.
- Statutory Payments: Collect necessary documentation for processing statutory payments.
Administrative Support
- Facilities Liaison: Coordinate with facilities staff to maintain cleanliness in the office and Guesthouse.
- Document Management: Assist with scanning and photocopying documents as needed.
- Supply Management: Prepare purchase requests (PRs) for office and Guesthouse supplies.
Skills and Qualifications
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and HR software.
- Attention to detail and a commitment to maintaining confidentiality.
- Ability to work independently and as part of a team.
- Previous experience in HR or administrative roles is preferred.
Working Conditions
- May require occasional travel to field offices.
- Standard office environment with typical office hours

Minimum Qualifications

Education: Typically, a Diploma in a related area. An equivalent combination of relevant education and experience may be substituted as appropriate.

Experience: At least one year of HR support experience. Previous experience with International Medical Corps is a plus.

Knowledge of Labor Laws: Familiarity with local labor laws is essential.

Communication Skills: Excellent interpersonal and communication skills, both written and verbal.
