Under the direct Supervision of Senior HR Officer, the HR and Admin Assistant plays a critical role in various HR functions, including staff recruitment, the onboarding process, exit procedures, monitoring staff leaves and attendance, tracking timesheets, conducting staff evaluations, and efficiently managing administrative tasks delegated by the line manager.
Responsibilities:
- The HR and Admin Assistant will provide support in the hiring process across SHO, which includes making a short list, reviewing applications, setting up interviews, and carrying out written tests.
- Ensuring that each new staff member has gone through the appropriate onboarding procedure and that they have completed and signed the necessary paperwork
- Provide HR induction for the new employee and ensure that they are aware of SHO’s policy and procedure including the mandatory training that each staff must undertake.
- Assisting with the update of the personnel database and making sure that all data is updated.
- Keeping track of employee timesheets and leave and make sure that the corrected timesheet and Leave have been submitted.
- Update leave Tracker and ensure that employees understand the SHO's leave policy and provide staff with their leave balance once it’s required.
- Manage the staff personnel files in Mosul office in both hard and soft copy.
- Contribute to continuous updating of the training Tracker and ensure that the proper procedure has been followed.
- The HR assistant must ensure that all employees have an active contract and provide notification on this once it’s required.
- Contribute in the evaluation procedure and ensure that all staff has undergone the evaluation procedure at the proper time.
- Provide HR refresher training to the employee and addressing questions and issues from staff members, creating a productive workplace.
- The HR and Admin Assistant will ensure that sign in and out has been recorded properly and according to SHO’s policy and procedure.
- Organize meetings for the senior management team and provide other administrative support as needed.
- The HR and Admin Assistant that a proper exit procedure has been followed and all documents has been filled and archived properly.
- Supporting Logistics teams on Admin tasks when required.
- Monitoring staff ID and ensuring that all employees receive their ID on time.
- Provide the required support to the HR department on the Archiving process.
- Any Other Tasks Required by Lien Manager
