MAIN TASKS AND RESPONSIBILITIES:

1) Support the Program Director and the Head of Program Sectors with administrative tasks, including scanning, filing, data entry, and preparing documents.
2) Maintain award-related electronic files in company systems. This may include network and online portals.
3) Generate deliverables and other reports as needed from internal Program Management Tools (PMT) on Iraq SharePoint, including the Work Plan, Procurement Plan, HR Plan, Indicators Tracking Table, and Evidence Completion Reports, as needed.
4) Assist in coordination with the Program Director, Head of Sectors, and Regional Teams regarding main award issues raised by GCM dept.
5) Under supervision, support Iraq country portfolio as GCM focal point. This includes participating in country calls, reviewing awards, modifications, contracts, Memorandums of Understanding and other agreements, and providing guidance on donor requirements.
6) Assist in preparing project summary sheet templates which cover deliverables, award terms, and donor rules.
7) Assist with entry and dissemination of information into the internal Agreement Review Management System (ARMS).
8) Maintain department information on IMC Iraq SharePoint.
9) Monitor, track and disseminate the submission of award reports/deliverables as outlined in donor and sub-recipient agreements and follow-up with staff on untimely or outstanding submissions.
10) Participate in internal and external audits by providing information and documentation as requested and take appropriate action following audit reviews.
11) Participate in team meetings and professional development opportunities to stay up-to-date on compliance and grants management requirements.
12) Assist in coordination with the Program Director, and Head of Sectors, in the development and preparation of meeting agendas, organizing schedules, sharing invitations, collecting and recording the meeting notes, and disseminating the notes among team members.

13) Assist in the development of communication products, such as case studies, photographs, captions, updates, and social media content.
14) Assist in reviewing, editing, and compilation of narrative reports.

Qualifications & Preferred Skills

MINIMUM QUALIFICATIONS:


1) Typically, a bachelor's degree in international relations, humanitarian assistance, communication, or in a related area. Equivalent combination of relevant education and experience may be substituted as appropriate.
2) Typically, two to three years of relevant experience working in international development, grants, reporting, and contract management, or related.
3) Communication (oral and written) and strong interpersonal skills.
4) Professional fluency level in English. Good command in Kurdish and Arabic will be an asset.
5) Ability to handle multiple tasks and demands.
6) Ability to prioritize tasks.
7) Attention to detail.
8) Strong organizational skills.
9) Adaptability.
10) Proficient in Word, Excel, PowerPoint and Outlook.
11) Willingness to learn grant/contract regulations and IMC procedures.
12) Experience with SharePoint and/or Office 365.
13) Ability to work as a team.
14) Self-motivated.
15) Strong writing skills - ability to write essays, success stories, case studies, and narrative reports.
