Title: Operations and Administrative Associate

 

Reports to: Operations Manager

 

Chemonics seeks an Operations and Administrative Associate to support day-to-day operations in Iraq, tracking project letters, facilities, and equipment. Responsibilities include updating inventory lists, preparing for procurements, providing logistical support, and organizing project activities and events. S/He will also support program communications, managing vehicle movement, assisting in procurements, and supporting in recruitment processes, along with other tasks as directed by the Operations Manager and Operations Director.

 

Responsibilities include, but are not limited to:

  • Follow on the day-to-day operational field presence in Iraq, including tracking project’s letters, facilities and equipment.
  • Manage and update the inventory lists for office materials and tools, assisting in maintaining equipment and that all inventory is tracked according to the Chemonics policy;
  • Preparing operations PAR at the direction of the Operations Manager;
  • Provide administrative and logistical support for Iraq Together Activity (Ma’an) operational and technical needs;
  • Organizes all the project’s activities and events, conducts the trainings and providing on-site support during the workshop;
  • Supports program communications, publicity, and outreach as needed;
  • Provide administrative support to the organization of events including trainings conferences and workshops;
  • Managing the project’s movement requests and tracking all types of vehicles movement;
  • Support technical and operational procurements through document organization, note-taking, and working directly with the procurement team to ensure compliance with Chemonics policies and procedures, in addition to audit support, as required;
  • Assist in the recruitment process including updating recruitment trackers, collecting candidate documents, and coordinating with HR as needed.
  • Other tasks as requested by the Operations Manager and/or Operations Director.
Qualifications & Preferred Skills

Minimum Qualifications:

  • Bachelor’s degree in a relevant field required.
  • Minimum two (2) years in a similar role (e.g. operations, logistics and administrative) is required.
  • One (1) year experience with a USAID-funded project is strongly preferred.
  • Prior experience with operations for a large donor program in Iraq strongly preferred.
  • Organizational, Logistic, and administrative skills.
  • Demonstrated working knowledge of MS Word, MS Excel, and other basic computer applications.
  • Ability to communicate effectively, both verbally and in writing, and to prioritize tasks and meet deadlines consistently. An ability to multitask and work under pressure is required.
  • Strong local and surrounding area knowledge.
  • Demonstrated leadership, versatility, and integrity.
  • Fluency in written and oral Arabic and English is required; Written and oral fluency in Kurdish, and other local languages is a plus, but not required.
