Description

arche noVa - Initiative for People in Need is a non-religious, independent non-profit and non-governmental organization (NGO) with Headquarters in Germany. We work in the field of humanitarian aid, rehabilitation and development and primarily focus on the WASH sector.

Globally, arche noVa currently works in twelve countries. Since 2013, we have been implementing projects for IDPs, returnees and host communities in Northern Iraq and Kurdistan (Diyala, Sulimaniyah and Kirkuk Governorate).

arche noVa provides WASH services in IDP camps in Sulaymaniyah, Kalar and Khanaqeen. Over and above that, we also provide WASH services and support outside of camps by rehabilitating WASH facilities in schools and health centers, as well as improving water and sewerage systems in villages. arche noVa is further expanding on these WASH support activities through a more sustainable long-term and holistic approach focused on community engagement, capacity building and livelihood diversification in the agricultural sector, yet always continuing to keep WASH at its core.

arche noVa co-leads the WASH Sub-cluster in Sulaymaniyah Governorate and the WASH Working Group in Northern Diyala Governorate.

Objectives of the position:

To provide support to AN team in logistics, purchasing and administration and to perform other functions within his/her capacity, skills and knowledge as may be requested by managers/supervisor. 

Duties & Responsibilities:

Logistics

  • Participate in following market prices, as well as regularly updating supplier, vendor and price lists;
  • Direct, optimize and coordinate the full order cycle and liaise/negotiate with suppliers, manufacturers and retailers;
  • Collect quotations and ensure that all the requested information is obtained and included in the quotations;
  • Compile purchase files with all the necessary documents and prepare payment documents for the finance department;
  • Check the quantity and quality of any items purchased as well as ensure that the delivery deadlines are met;
  • Ensure that payments to suppliers as required are completed in coordination with the finance department;
  • Manage any shipments and deliveries as well as ensure the compliance with any tax requirements;
  • Ensure compliance with AN and donor procedures;
  • Ensure that all procurements are tracked and recorded and maintain the asset registers accordingly;
  • Meet cost, productivity, accuracy and timeliness targets;
  • Track the movement of the vehicles and sharing the logsheets with Coordination office on monthly bases;
  • Coordinate with the Logistics Coordinator in Erbil office on the logistics matters;
  • Conducting travels to the Erbil office, fields, and camps when needed;
  • Monitor tendering process and ensure the proper compliance with AN and Donor regulations;
  • Perform any other related duties as requested by Logistics Coordinator, Head of Operation and Head of Mission;

Admin

  • Support Administrative Officer in Finances (Preparing Request for Quotation RFQ, Purchase Order PO, Waybills);
  • Translate official documents and written communication from Kurdish to English and vice versa;
  • Issuing all the organizational administrative letters to the concerned parties;
  • Ensuring proper documentation of vehicles (i.e., lease, insurance, mechanical inspection, etc.) is properly handled by Drivers and authorized staff;
  • Ensure Office supplies such as, cleaning products are well stocked and available;
  • Work with HR and Finance and support administrative tasks;
  • Follow-up with the official directorates the organizational works (residency office, area Asayish, governate Asayish, Traffic Police department, etc..);
Qualifications & Preferred Skills
  • Good knowledge and/or at least 1 years’ experience of logistics support and administration
  • Experience in international NGOs an advantage
  • Bachelor’s degree or certificate in Business Administration or related field an advantage
  • Fluency in English, Kurdish and Arabic.
  • Ability to work efficiently, under pressure and adapt to difficult conditions.
  • Planning and organizational skills;
  • Ability to keep clear and concise records
  • Effective communication Skills.
  • Effective negotiation skills.
