Purpose of the role

The purpose of the Grants Officer is to contribute to achieving quality and effective grants management systems by closely supporting the Grants Coordinator with maintaining and constantly upgrading NRC Iraq’s internal grants management systems and tools. S/he ensures NRC programme/support teams, as well as external stakeholders (e.g. auditors), have access to up-to-date grants-related files and information in soft and hard copies, and ensures that programme and support colleagues are informed of relevant donor compliance regulations and NRC procedures. S/he is the focal point for information management of NRC Iraq’s Filing Tree and Office 365 working space. The Grants Officer supports report and proposal submissions in line with the grant process flowchart. The ideal candidate will be detail-oriented, able to work under tight deadlines, and able to quickly understand and elaborate information from multiple sources, information management experience is a plus.

 

What you will do

  • Ensure adherence to NRC policies, tools, handbooks, and guidelines.
  • Maintain in-country filing system in line with NRC standards and ensure proper filing of all grants-related documents.
  • Promote and share ideas for technical improvement.
  • Promote the rights of IDPs and Returnees in Iraq, in line with NRC’s advocacy strategy.
  • Provide an internal helpdesk on donor-related issues and help facilitate training on such
  • Assist in the coordination of proposal development and report writing processes by oversight and management of deadlines, contributing to coordination, consolidation, and review.
  • Support overview and maintenance of all grants including filing, tracking, donor requirements, rules and regulations, and internal and external deadlines.

Specifically, you will;

  • Support and coordinate the finalization of donor reports ensuring consistency between narrative and financial reports, as well as the M&E database, and that they meet quality standards.
  • Be familiar with all NRC organizational and donor portfolio compliance requirements and ensure high-quality management of grants through meeting internal targets and deadlines.
  • Support and advise program and support colleagues with queries related to donor compliance on grants within the portfolio and ensure appropriate donor templates are readily available.
  • Work with other departments (programmes, finance, M&E, compliance) to ensure all supporting documentation such as e.g. distribution lists are secured, ready, and available for internal and external monitoring processes (e.g. audits).
  • Develop and maintain an overview of all grants through the Grants Tracker, donor requirements, rules and regulations, and managing PCM calendars and invites for internal and external deadlines.
  • Ensure all key grant documents are available in soft and hard copies by maintaining a high-quality information management/filing system and updating NRC’s grants management system (Cycles).

Qualifications & Preferred Skills

Professional competencies

Generic professional competencies for this position:

  • Bachelor's degree in social science or similar, or any other relevant field
  • Minimum of 1 year of relevant work experience with NGOs, charities, humanitarian work, or similar organizations
  • Detailed-oriented and strong organizational skills
  • Proven communication, interpersonal,l and negotiation skills
  • Strong analytical skills and excellent written and oral communication skills
  • Information management knowledge/experience is a plus
  • Fluent in English, both spoken and written
  • Proficient in MS Office applications including Excel, Word, PowerPoint, Outlook, etc

  • Knowledge of the context in Iraq
  • Knowledge of donor landscape, priorities, and conditions
  • Fluency in Arabic and/or Kurdish, and good verbal communication skills

Contract Duration: until 31 December 2025 (our contract renewal cycle runs from January to December)
Duty Station: Erbil- Iraq with 10% travel (to different field locations in Iraq)
Health Insurance is provided
Salary: G5, According to NRC’s Iraq salary scale and terms and conditions.
