Adminstration/Human Resources Assistant* 

in Erbil 

 

The position is to be filled as soon as possible, with an initial contract duration until 31.12.2025.  Employment location will be Erbil in KRI,  The position is paid according to SG5 ( 2,301,000 IQD) as Gross Salary

.

 

 

The aims of the job are to assist in providing secretarial services/administrative support and in ensuring the smooth functioning of the project/programme office.

 

 

Your responsibilities

 

 

Position based in Erbil, with frequent travel to field offices (Ninewa, Anbar)

2.3.1 HR tasks:

• Ensure the proper filling of all the HR documents, according to the guidelines communicated;

• Prepare all the due HR annexes and make sure every employee and service contractor has duly signed the required annexes;

• Ensure, if needed, the due translation in proper Kurdish language of any HR and administrative document (including employment contract);

• Collect the necessary documents for every staff member;

• Update regularly the HR and Administration data on the Cloud;

o Ensure the proper filling of the documents on the Cloud, with the due coherence of documents and the naming of these documents according to the guidelines communicated;

o Ensure the follow-up of the leave days, sick days and any other information/ rights/ social advantages related to the employees and/or the service contractors.

• Participate in the recruitment process by reviewing the job applications, attending the interviews and updating the HR Recruitment Follow-Up file;

• Update on a regular basis the monthly Payroll file and check all the information about the employees

2.3.3 Administrative tasks:

• Contribute to prepare the audits, internally or with partners;

• Ensure the correct filing of all administrative documents;

• Follow-up any change, update or modification of the local legal regulations, especially in regards to the Labor Law and the Tax law;

• Realize, if necessary, administrative tasks before the local legal authorities ;

• Scan and copy the key administrative documents.

• Updating WHH staff list and collecting all ID’s for access letter

The HR and administrative tasks mentioned above should be achieved for all the project(s) on which the Human Resources & Administration Assistant has been designated (in accordance with his/hers employment contract but also for his/her costs allocations). The Human Resources & Administration Assistant is not expected to work only for one project.

These HR and administrative tasks should be mainly understood as being non-finance-related: the financial compliance of the documents should be already ensured and

maintained by the Finance team (i.e. the Finance Officers). The focus of the Human Resources & Administration Assistant should be the compliance with the legal requirements, the administrative rules and WHH own standards, rules and regulations.

In addition to the above, the Human Resources & Administration Assistant may be asked to carry out other duties requested by the Experts in Financial Administration, the Finance Manager or the Country Director.

 

 
Qualifications & Preferred Skills

Professional/ formal qualification

  • University degree 
  • 1 to 2 years' professional experience working in similar position with relevant tasks and responsibilities

Foreign language skills

  • Fluency in English ,Kurdish and Arabic (written and spoken),
