Free to Run’s mission is to advance gender equity globally through running. We are a registered nonprofit / nongovernmental organization that has been operating community-led programs for adolescent girls and young women since 2014. We are known for delivering long-term, youth-led, progressive running, leadership, rights and health programs directly to adolescent girls and young women living in protracted conflict zones.

Position Overview

We are seeking a highly motivated and organized individual to join our team as an Administrative and Liaison Officer. The successful candidate will play a key role in coordinating the day-to-day operations of the Organization in Baghdad and supporting liaison activities with key stakeholders, including government entities, NGOs, embassies, and donors. This position requires excellent communication skills, attention to detail, and a proactive approach to problem-solving.

 

Core Accountabilities

  1. Government and Stakeholder Engagement:

      • Establish and maintain relationships with relevant government agencies and key stakeholders.
      • Ensure compliance with local regulations and assist in the registration process.
      • Represent the Organization at government meetings, events, and occasions as needed.
    1. Liaison and Coordination:

      • Serve as the main liaison for the Organization in Baghdad, acting as the point of contact for all external stakeholders.
      • Coordinate partnerships with other NGOs, embassies, and donors, facilitating communication and collaboration between all parties.
      • Stay updated on regulatory requirements and advise the team on necessary actions to maintain legal standing.
      • Support the Program team in Erbil by providing coordination and administrative assistance as needed.
    2. Administrative Support:

      • Handle administrative tasks, including scheduling meetings, preparing documents, and managing correspondence.
      • Ensure efficient and accurate record-keeping and documentation of all relevant activities.
      • Assist in the setup and organization of the Baghdad office, including procuring office equipment and supplies.
    3. Reporting and Documentation:

      • Assist in the preparation of reports, presentations, and other relevant materials.
      • Maintain comprehensive and up-to-date records of meetings, events, and partnership activities.
    4. Additional Duties:

      • Provide general administrative and program support as needed to ensure smooth operations.
      • Carry out any other duties as assigned by the Organization.

Location (Duty Station)

The Administrative and Liaison Officer position is based in Baghdad. Occasional coordination travels within Iraq and KRI may occur depending on organization need.

Working Hours

The Administrative and Liaison Officer position is a part-time role. Due to the nature of the organization’s business, hours may fluctuate outside regular core hours, with the possibility of some nights or weekends, depending on the needs of the organization.

 

Remuneration

Based on experience. Aligned with market rate in Kurdistan and Iraq.

Qualifications requirements

EducationBachelor’s degree in a relevant field (e.g., Public Administration, International Relations, Business Administration).

 

Language: Fluency in Arabic and English (written and spoken). Kurdish language skills are an asset.

Experience/Knowledge

  • Minimum of 2 years of experience in a similar administrative and liaison role, preferably within an NGO or international organization.
  • Proven experience liaising with government bodies and managing compliance processes.
  • Strong understanding of local regulations and government processes.

Skills, Abilities and Approach

  • Proven ability to build and maintain relationships with government agencies, NGOs, and other key stakeholders.
  • Excellent organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent interpersonal, communication, and negotiation skills.
  • Strong written and verbal communication skills in both English and Arabic.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Cultural sensitivity and adaptability in diverse environments.
