About SEED Foundation: SEED Foundation is a registered NGO in the Kurdistan Region of Iraq. Role of the Senior IT Officer:
The role of the Senior IT Officer is to provide technical IT support to all SEED employees at all locations. The Senior IT Officer is responsible for managing and maintaining critical aspects of SEED’s IT infrastructure. The Senior IT Officer will encompass various technical domains, ensuring the smooth operation of hardware, network, Odoo ERP and security systems.
The Senior IT Officer, has to uphold SEED Foundation's commitment to maintaining the confidentiality, integrity, and accessibility of all business information. It is essential that all proprietary information—any nonpublic information that could harm SEED, its customers, or its partners if disclosed—is handled with strict confidentiality. This includes:
- Adhering to technical security measures and ensuring compliance with SEED's confidentiality policies.
- Avoiding unauthorized trading or disclosure of non-public information, particularly concerning clients and the organization and employees' data.
- Respecting the intellectual property rights of others, ensuring no unauthorized use, copying, distribution, or modification of software or other protected assets.
The role requires you to implement and follow SEED's information security rules to safeguard the organization's IT infrastructure and uphold its ethical standards.
Specific Tasks
Staff Management and leadership: 30%
- Organizing, managing, and overseeing IT personnel to ensure meeting the organization's objectives effectively, while ensuring their professional growth and satisfaction.
- Work allocation and scheduling by assigning tasks based on individual strengths, and ensuring that workload distribution is balanced and reasonable.
- Training and development by assessing the training needs of the IT team, and encouraging continuous learning and professional development.
- Team building and culture by fostering a positive and collaborative work environment, organizing team-building activities and events, addressing interpersonal conflicts, and ensuring effective communication within the team.
- Mentor, supervise and motivate the team, endorsing subordinates’ work, and delegating tasks as authorised.
- Raise recommendations to improve performance and effectiveness and contribute to the change process.
- Provide support to the IT Unit with any technical issues or inquiries when needed.
Policies and Standardizations: 30%
- Establishing IT policies for our organization to ensure smooth operations, data security, and compliance with legal and regulatory standards.
- Participates in the development, implementation, and maintenance of policies, objectives, short- and long-range IT planning, with an emphasis on advocating for the needs of the area(s) supported; implements tracking and evaluation programs to assist in accomplishment of established goals.
- Stay up to date with the latest technologies and trends in software development, particularly related to Odoo ERP, and Google Workspace. This includes researching and evaluating new technologies, attending conferences and training sessions, and making recommendations for new tools and techniques that could enhance the organization's IT infrastructure and software systems.
- Monitor and regularly update the IT-related systems and assets. Including IT asset forms and trackers, Google Workspace update and backup check, Google workspace accounts and groups tracking, elevator access accounts tracking, and PR tracking.
Documentation, Guidance and Support: 20%
- Create thorough and step-by-step documentation and guidance for IT software/hardware usage as a reference for both existing and upcoming items. Current software/hardware:
- Security Cameras Guidance
- New PC Installation/configuration
- Google Workspace user management
- Backup device checkup guidance
- Printer’s installation and configuration
- Onboarding and offboarding guidance
- SEED Email signature guidance
- Communication with External parties
- Provide training with proper documentation for both new and existing staff. Ex: Google Workspace, Odoo ERP, Learning Platforms, Daily tasks, etc.
- Travel to other offices when required to provide IT maintenance, training and support to staff.
- Follow up with daily requests for all seed staff and solving their issues. Including the inquiries received via phone calls, emails, and IT asset forms in addition to raising PR, adding ID cards to elevators, installing and configuring new assets, creating/suspending email accounts, and distributing assets.
- Deliver educational training sessions to ensure best practices of the systems in place. Train and guide user on using new software, PC maintenance and troubleshoot, and possibly training junior staff.
Administration of Odoo ERP System: 20%
- Administrate the Odoo ERP System, monitor, and test the procedures and configuration of Odoo, and assist in launching the system in segments.
- Test functions by monitoring system performance to identify areas for improvement or problem spots that may require further investigation with the system administration.
- Prepare learning materials.
- Train staff on how to use the system once it has been implemented.
- Create new accounts/users for all SEED staff.
- Supporting the implementation of Odoo by working with other departments to ensure that data is transferred correctly.
- Educational background in Computer Science/Engineering degree or related fields.
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
- Good experience in Hardware and Software troubleshoots.
- Experience with network setup and maintenance, experience CCTV, ERP software management, and client support.
- Strong organization skills and Leadership skills.
- Knowledge of data backup and recovery, and NAS Devices.
- Knowledge of current trends and developments in information technology.
- The ability to prioritize workload and attention to details.
