Description

RESPONSIBILITIES: 

 

Erbil Office

  • Hold the role of Cashier for Erbil Office cash boxes
  • Upload monthly payment requests to ELO (Regular, field WFs, run BFIPs), and ensure the correctness of documentation and KW data. Process the check payments of regular invoices toward suppliers.
  • Upload Project related invoices to ELO (purchase & donations) to ELO, ensure the correctness of documentation, and KW data, and push on RPs for approvals to meet the expected payment due date.
  • Responsible for posting stock items related to IRQ projects into NAV. From ELO WFs, cross-check the supporting documentation and follow up with RPs for any potential corrections.
  • Process the supporting documents of GOI staff Monthly Social security for submission at relevant offices in GOI provinces. Coordinate with RPs to send originals to Erbil office for physical archiving.
  • Hold the function of “contract admin” on ELO Java Client for the non-HR contracts originating in Erbil for SYR and IRQ CPs

 

Amman Office

  • Provide Remote support to Amman Office Nav. Cashier for both cash boxes, cross-check the entries while released before posting and shadow the Amman office Cashier whenever needed.
  • Upload of Amman office Payment requests and invoices to ELO, start WF on ELO, and push on RPs for approvals to meet an expected payment due date.
  • Hold the function of “contract admin” on ELO Java Client for the non-HR contracts originating in Erbil for Amman representative office. Archiving of WFs will be based on PDFs versions, originals will be archived in Amman office by admin asst. into respective folder.
  • Any other technical support needed to perform a specific task.

  • Adhering to all PIN policies and procedures at all times including those stipulated in National Staff Handbook, Child Protection Policy, Security Standard Operating procedures, etc.
  • Punctual attendance to work including both working hours in the assigned office and schedule field trips if applicable
  • Ensuring timely and effective delivery of tasks
  • Correctness and completeness of given tasks
  • The Employee takes over the responsibility for all entrusted material or cash. The Employee is obligated to cover all damages or losses caused by his carelessness. The Agreement of Liability of Assets has been signed separately
  • Prompt providing of all relevant information to their supervisor
  • Maintain confidentiality of all information gained from employment within not publicly available
  • Archiving of all entrusted and acquired documents in proper manner
  • Representing and upholding the values of People in Need at all times
  • Behave in appropriate manners at all times and in all places

 

Qualifications & Preferred Skills

PERSONAL QUALITIES

  • Preferably a degree in in accounting and finance/banking and/or professional background in those fields.
  • A highly motivated graduate who is willing to Learn and gain new experience in INGO sectors with some basic experience either as finance/admin Intern or short/ temporary admin staff is highly recommended for this.
  • Required languages – English (intermediate), Arabic (a Must) and Kurdish (preferable)
  • Computer skills in MS Office programs, basics in Excel
  • Organizational skills as well as attention to detail
  • Able to communicate clearly and confidently with people from different backgrounds.
  • Flexibility and Availability: when employee been asked to perform other ad-hoc tasks per LM request or head of department.
