Under the authority of Amman based Security Department the Operation Support officer is ensuring the liaison and coordination for ACTED Syria teams in Erbil including fleet management, office, and GH management. Act as ACTED Regional/Syria liaison focal point with the concerned department, specifically Logistics, Finance, and Administration of ACTED Iraq mission.
Objectives
- Manage smoothly ACTED Syria dedicated structure based in Erbil.
- Ensure that NES crossing operation and lay over in Erbil are smooth and coordinated.
- Act as a liaison with the Erbil support team for cross cutting issues, specifically fleet organization, security, and administration follow up.
Duties and Responsibilities
The operation support Officer responsibilities include:
- Guest House / Office management:
- In charge of the rental and follow up of accommodation in Erbil (Office, hotels, and guest house)
- In charge of the maintenance of the office and guest house rented in Erbil
- Ensure the contract and payment follow up (hotel, rental, running costs etc.) in coordination with Amman capital and ACTED Iraq concerned focal point
- Ensure stocks management and follow up (stationaries, cleaning materials etc.)
- Ensure all premises are cleaned, well organized and ready for ACTED Syria staff in visit in Erbil.
2.Movement support
- Is responsible for ACTED Regional/Syria dedicated cars planning, maintenance, and contractual follow up (including payment follow up with the concerned departments)
- Make sure airport drop off and pick up are planned and followed in coordination with Amman Capital and ACTED field coordination/security.
- Make sure all movement are well coordinated and organized for ACTED Regional/Syria staff in KRI
- In close coordination with ACTED area Security department, ensure that any movements are well planned for
3.Administrative management
- Follow up and liaise with ACTED Iraq administrative team visas, residencies, and any other administrative requirement necessary for ACTED regional/Syria staff in KRI.
- Provide support in the constitution of employee files for visas/residencies request
- Prepares monthly attendance sheets for his/her team, manages leaves etc.
- Liaise with Erbil HR department and Finance department for payroll and monthly salaries.
- Lead recruitment in collaboration with ACTED Iraq team when necessary
4. Procurement
- Can support collection of quotations or any other procurement process in liaison with ACTED Iraq Logistics department.
QUALIFICATIONS
The Operation Support Officer is required to embody the following qualities and to always maintain compliance with ACTED Rules and Policies:
- Master’s degree
- At least two years in a similar position
- Previous experience within an INGO
- Good English- Arabic – Kurdish.
- Good knowledge in Office program specially Excel and word.
- Ability to work under pressure in a high-pace environment.
- Ability to manage complaints.
- Willingness to follow instructions, especially those related to security.
- Excellent social and communication skills.
- High commitment to cultural sensitivity, honesty, integrity, trustworthiness, and accountability.
- Organized, methodical, and thorough work ethic.
- Punctuality, autonomy, and independence
