Description
Context:

Under the overall guidance of the Chief of Mission (CoM), direct supervision of the Head of the Migration Management Unit (MMU), in close collaboration with MMU’s the Programme Coordinator and Programme Officers, the incumbent will support the implementation and monitoring of IOM Migration Management Programme in Iraq. 

Core Functions / Responsibilities:
  1. Provide technical support to the Head of Unit, Programme Coordinator and Programme Officers in the administration of the Migration Management Unit’s programme activities, including relevant budgetary, logistics and HR oversight;

  2. Supervise MMU’s Programme Assistants (PAs) delegated to admin functions and advise the Unit’s management on arising issues and needs for the smooth implementation of activities; provide technical support and mentor MMU’s abovementioned PAs to ensure comprehensive admin support to the Programme Officers, including travel arrangements and security clearances;

  3. Liaise with relevant support Units (Finance, Logistics, Procurement, HR) to guarantee timely delivery of activities functional to the implementation;

  4. Supervise diligent use of monitoring tools and proper archiving of information relevant to the programme’s administration, including ensuring timely updated contact lists, Note for Files (NFF) and workplans are available for the MMU team;

  5. Guarantee effective processing of supporting documentation (PRs, BAS, PVs etc) in the IOM Data Portal and hard-copy as required for implementation of activities from initiation throughout acquisition of relevant signatures and finalization;

  6. Develop and update MMU’s agenda including upcoming meetings and project-related events, sharing with relevant staff weekly, monthly and yearly plans; provide advise on effective activities’ scheduling accordingly;

  7. In close collaboration with the Programme Officers, assigns and mentor Event Managers from the admin team to guarantee thorough administrative and logistical support for the planning, organization and successful implementation of trainings, workshops and any other initiative organized by MMU;

  8. Draft and translate correspondence and other materials from Arabic into English and vice-versa, as needed, and assist with interpretation;

  9. Ensure the implementation of IOM activities in a participatory, culturally- and gender-sensitive manner and promote the same values with the team;

  10. Perform any other duty as instructed by the Head of Unit, Programme Coordinator and Programme Officers.

Qualifications & Preferred Skills
Education 
  • Master degree social sciences, administration, or other equivalent in the related field any related field from an accredited academic institution.
  • Bachelor’s degree from an accredited academic institution, with minimum 2 years of relevant professional experiences
Experience
  • Good computer skills (Word and Excel is a minimum requirement);
  • Ability to work independently or with minimal supervision
  • Possesses managerial skills (planning, organization and reporting)
  • Good communication skills
  • Ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds
  • Ability to handle confidential matters
  • Ability to meet deadlines and work under pressure
  • Strong computer background including experience with relational database and Microsoft applications such as Excel, PowerPoint, Word, and Outlook
  • Personal commitment, efficiency, flexibility, and initiative to achieve results.
  • 5-10 years of experience in the field of administration and programme support can be considered in lieu of the abovementioned education requirement.
Languages
  • Fluency in English, and Arabic are required.
  • Any other language is an advantage.
