Job Purpose:
To provide support to the Finance Officers and Senior Finance Officer in all aspects of accounting, financial management, and internal audit requirements. This position assists in the day to day key Accounting, Finance and administrative roles in ensuring that the finance department accounting and administrative functions are planned, administered and managed adequately and efficiently to meet the Finance and Administration Department objectives. This position provides specific support to Erbil Finance department. Assists in the administration of the financial/business functions of a unit.
Main Responsibilities:
- Act as the cash safe custodian and record all transactions in and out of the cash safe. Maintain Cheque book Log for cheques issued or pending payment.
- Maintain and update the Cash and Bank Transaction Journals. Make sure that these are updated any time payment is made.
- Ensures that all procurement documents and all necessary approvals are obtained before payment is made. This includes the Purchase Requisition, Quotations, Procurement Bid Summary, Purchase Order, Receipts or invoice.
- Prepare all Cash and Bank Payment Vouchers with accuracy/Completeness for review by the Senior Finance Officer.
- Make sure all costs are accurately coded with the correct grant and account codes to match Purchase requests and IMC chart of accounts.
- Submit daily cash count reports, matching these with CTJ’s and for review to the Finance Officer.
- Ensure that the cash and bank transaction journal is completed daily and uploaded to system weekly.
- Assists in conducting surprise Cash count made by the Country Director and/or designate.
- Cooperate with all departments regarding all cash/checks/bank transfers, in order to process all payments within the timeframe agreed.
- Monitor Cash and Bank Balances and advice Senior Finance Officer when to initiate Cash/Bank Requests.
Bachelor’s Degree in business administration or relevant degree.
Experience in a finance role. Preferably as a finance assistant in a humanitarian context.
Fluent in writing and speaking in English and Kurdish. Fluent in arabic is desirable
Knowledge of MS Office (Excel, Word and Outlook).
Accounting terms, debit/credit, scanning, filing.
Highly motivated, initiative and good team working skill.
Ability to respect and maintain confidentiality.
