Admin Transit Assistant

Place of work: Erbil

Commencement Date: April 2021

Main purpose of the job:

He/she is responsible for assisting the administration department in the transit-related tasks in support of Iraq missions, including arrivals and departures for national and international staff (administrative briefings planning, preparation of the welcome documents, key, phone, per diem, etc), movement requests, flight ticket follow up, visa requests, residency cards, and accommodation planning.

 

Accountabilities:

 

  • Receive and rationalize requests of movements across the projects in collaboration with the Admin transit and log department in Erbil as well as administration managers at the project level.
  • In conjunction with headquarters and the coordination, booking plane tickets and associated required processes for the arrival and departure of international form the country.
  • Follow-up and maintain travel clearances in collaboration with intersectional liaison department
  • Ensure that visa request/renewal is done promptly
  • Closely monitor with the liaison department the government processes to ensure that all requirements and guidelines of movement of persons are adhered to at all times
  • Preparation of the welcome and briefing packs for expats
  • Expat Accommodation and per diem organization
  • Mobile Phone Assignment and planning
  • Updating the transit monitoring boards- if existing/ implemented
  • Support in the process of end of mission organizing and debriefing
  • Ensure proper filing, both electronic and physical of all administrative documents, (including, but not exhaustive)
  • Any other duties requested from the supervisors
Qualifications & Preferred Skills

Specific requirements for the role:

  • Education: Desirable University Degree (administration/HR) or related education
  • Experience:
  • Essential pervious working experience at least 1 year as HR or Admin assistant or in the travel industry field
  • Desirable experience in MSF or other NGOs in similar context
  • Is aware of activities of other departments and respect specific rules and procedures.
  • Is aware of social and political situation and keeps information up-to-date.
  • Passes on all relevant information related to MSF scope of action and context.
  • Advises on various topics (culture, economy, politics, etc.)
