Geneva Call is recruiting an Admin Logistics Assistant - Baghdad

Geneva Call is a neutral and impartial non-governmental organization dedicated to promoting respect by armed non-State actors (ANSAs) for international humanitarian norms in armed conflict and other situations of violence, in particular those related to the protection of civilians. Geneva Call is currently focusing its efforts on banning the use of anti-personnel mines, protection of health care, protecting children from the effects of armed conflict, prohibiting sexual violence in armed conflict and working towards the elimination of gender discrimination.

 

Appel de Genève/Geneva Call is a private, not-for-profit humanitarian organization founded in 2000 under Swiss law.

 

Key Responsibilities

                                       

The Admin Logistics Assistant reports to Project Officer. He/She will be based in Baghdad  and work 75% of time to perform the following tasks:

 

Main Tasks:

 

Logistics and procurement

  • Responsible for providing logistic support and overseeing the overall logistic matters for Baghdad office;
  • Prepare and facilitate, with the support of Geneva Call's team, the planned trainings and activicties;
  • Make necessary payments for training and other activities' costs if approved by Geneva Call, and monitor the financial situation, and regularly reports to Geneva Call;
  • Updates on a reglar basis the purchase follow up - receipts, verification and processing of purchase requests and purchase orders;
  • Participates in the identification of suppliers or service providers;
  • Ensures correct filling and signatures of purchase request, purchase order & good receipt note;
  • Ensures compliance of invoices and supplier documents;
  • Follow Geneva Call’s procurement policy and ensures that the purchasing File is complete, compliant and contains the required documents (Requisition, quotations, evaluation grid, purchase order, copy of the invoice, delivery note, receipt of payment);
  • Ensures the proper storage of purchasing documents (classification code, visibility, ergonomics)

 

 

Equipment and Premises management

  • Ensures all equipment is properly coded and identified;
  • Ensures the equipment inventory follow up is up to date;
  • Ensures the equipment is stored in a secure place;
  • Updates the equipment inventory follow up file in time, in collaboration with project officer;
  • Labels any new equipment purchased or received before delivering it to the requester;
  • Informs his line manager for all needs in repair and or maintenance of equipment;
  • Carries out a weekly control of the installations of all the residences and the office and to inform his superior of any maintenance or repair to carry out;
  • Ensures that each residence or office has sufficient electricity or internet credits for their operation;

 

Security

  • Monitor the security situation in the area and conduct risk assessmentsm specifically prior to scheduled visits to the project implementation areas;
  • Facilitate the movement of Geneva Call visiting teams to Middle and Southern of Iraq with respective offices;
  • Ensures that security system (cameras,..) is functioning;
  • Participates in the tracking of vehicles and staff during movements
  • Perform any other tasks as assigned by the line manager;
Qualifications & Preferred Skills

REQUIRED QUALIFICATIONS

 

Education:

  • Diploma in business administration and Social Sciences.

 

Experience:

  • Minimum 3 years relevant work experience in a humanitarian organization.

 

Technical skills:

  • Basic knowledge of International Humanitarian Law and/or Human Rights Standards.
  • Excellent interpersonal, communication and presentation skills.
  • Ability to work under pressure.
  • Willingness to work independently.
  • Analytical and critical thinking capacity.
  • Demonstate computer literacy, including MS packages.

 

 

 

Languages:

  • Excellent written and oral skills in Arabic and English.

 

Personal Qualities:

  • High level of integrity and accountability;
  • Natural affinity for networking and building relationshipsg;
  • Flexibility;

CONDITIONS

 

  • Part time position, 75 %
  • The position is based in Baghdad, Iraq, with regular travel within the country.
